AI Automation

AI that knows your business

We build AI systems that run on your own business records: data pipelines, assistants, and reports. For businesses, corporates, institutions and companies in Kenya. Taking pilot clients now.

What it does

Four things, in order. No magic. You stay in control.

  • AI-written weekly reports

Sales, debtors and stock written up for you every week — what moved, what is owed, what needs action. Delivered as a short message, not a spreadsheet.

Who it's for: Owner-managers of businesses, corporates, institutions and companies who want a clear picture without opening Excel

  • Alerts on demand to your WhatsApp

Low stock, late payments and unusual cash flagged as they happen, in plain language, so you can act the same day.

Who it's for: Shops, wholesalers, clinics, corporates and institutions that cannot watch every number

  • WhatsApp assistants for customers

An assistant that answers common questions in English or Swahili, takes orders and bookings, and captures leads while you work.

Who it's for: Retailers, hotels, clinics, schools, corporates, institutions and service companies

  • Documents turned into clean records

Photos of invoices and receipts are read and turned into entries for you to check — no retyping, no lost paper.

Who it's for: Any business, corporate, institution or company currently keying documents in by hand

We pick the AI models and tools that fit each job. You approve what matters.

How our AI works

We don't use one AI for everything. We use different kinds of models for different jobs, and connect them to your own business records.

Learn your business

We map how you sell, buy, stock, and get paid, then load your records — sales, stock, customers, price lists — into a private workspace so the AI works from your numbers, not generic guesses. Works for businesses, corporates, institutions and companies of any size.

Language models talk and write

They read customer messages in English or Swahili, work out what is being asked, and reply using your prices, stock levels, and policies. They also draft quotes, reminders, and reports.

Calculations are done by code

Totals, days of stock left, overdue balances, and margins are calculated exactly from your data. The AI explains the results and never invents numbers.

Pattern models watch for problems

They spot fast-selling items about to run out, customers who pay late, cash that doesn't add up, and unusual discounts, then flag them to you.

Vision models read documents

Photos of invoices and receipts are read and turned into entries for you to check.

You decide

Suggestions and drafts come to you first. Changes to money or stock need your approval, every action is logged, and your data stays yours.

125Automation is a service from 125Customs, taking pilot enquiries from Kenyan businesses. Each project starts with an agreed scope.

What it does for your business

Different trades have different numbers that matter. Here is what the AI watches in each.

  • Hardware and building supplies

Tracks stock across hundreds of items, warns before cement or iron sheets run out, drafts WhatsApp quotes, and lists customers with overdue credit.

  • Wholesale and distribution

Suggests what to reorder from past sales, tracks credit owed by retailers, and sends statements and payment reminders.

  • Pharmacies and clinics

Watches expiry dates and low stock, answers common customer questions, and sends appointment and refill reminders.

  • Hotels and restaurants

Answers booking enquiries on WhatsApp day and night, drafts replies to reviews, and reports on occupancy and best-selling items.

  • Schools and colleges

Handles admission enquiries, sends fee reminders, and compiles attendance and results reports.

  • Farms and agrovets

Keeps input and sales records, tracks who owes what, and alerts you to low stock and price changes.

  • Transport and logistics

Tracks trips, fuel and maintenance cost per vehicle, flags unusual expenses, and sends customers delivery updates.

  • Property managers

Tracks rent paid and arrears, sends reminders, logs tenant requests, and summarises income per property.

  • Corporates and institutions

Automates internal approvals, tracks departmental budgets, drafts board-ready reports, and connects to ERP systems for real-time data.

  • Professional services companies

Manages client engagements, tracks billable hours, drafts proposals from past work, and flags overdue invoices.
